If you are moving an existing shop into Pay Kar, adding products one at a time is the slow way. Bulk upload lets you bring your entire product list in from an Excel file at once. It is the single biggest time-saver during setup, and here is how to do it right.
How bulk upload works
- In the sidebar, open the Inventory menu and click Bulk Upload.
- Download the template file. This is a spreadsheet with the exact columns Pay Kar expects, product name, code, price, cost, stock, category, and so on.
- Fill in your products in the template, one product per row. This is where your existing price list or stock sheet gets copied in.
- Upload the completed file. Pay Kar reads it and creates all the products at once.
- Review the result to confirm everything came in correctly.
Do this carefully once
Bulk upload rewards care. A clean, well-filled template gives you a clean catalogue in minutes; a messy one gives you a fast mess. Before uploading, it is worth taking the time to:
- Clean your list first. This is the perfect moment to remove products you no longer sell, rather than importing dead items.
- Use consistent names and codes so products are easy to search later.
- Include the cost, not just the price, so your margin reports work from day one.
- Get categories right so your stock is organised and your reports are meaningful.
Handling a big catalogue
If you carry thousands of items, you do not have to do them all in one file. Many shops start with their fast movers, the items that make most sales, upload those first, and add the long tail afterwards. That gets you selling accurately on what matters most, quickly.
A few tips
- Keep opening stock accurate, count what you actually have and enter that, so you start from truth.
- Fix the template, not the system, if something looks wrong after upload, correct your file and reference it.
- This is a great time to standardise your naming and categories across the whole catalogue.
